[Johannesburg, 2 December 2005] – Softline Sage ERP Accpac 2004 business partner of the year, AccTech Systems, has developed a BBBEE (broad-based black economic empowerment) vendor relationship management software module called AccTech VRM.

Enabling organisations to capture, monitor and report its procurement expenditure with BEE vendors, AccTech Systems aims to simplify the administration of this task, saving customers time and money.

“The collection and management of vendor data is time-consuming and costly,” says Tertius Zitzke, Managing Director of AccTech Systems. “But effective management of this process can be rewarding for local organisations if they record the information correctly.”

According to Zitzke, BEE rebates are often significant, justifying the time and effort allocated to managing the process. He says AccTech Systems wanted to make the procedure simpler and faster by simplifying the vendor master data collection and capturing procedure to a mere click of a button.

“Organisations will now be able to compile complex vendor reports that will assist in BEE rebate calculations,” explains Zitzke.

There are four parts to the AccTech VRM system: vendor master data, vendor transaction analysis and profile reporting; procurement interface with preferred vendors and preference values; and finally business intelligence regarding the company’s target performance.

When capturing a vendor’s master data, a company requires the following information: organisational demographics, contact details, performance evaluation, human resource development, employment equity, indirect empowerment and social investment.

To make this data collection easy, AccTech VRM provides a customisable electronic questionnaire that can be e-mailed to all vendors and once complete, imported directly into the VRM system providing a complete vendor overview. Zitzke says an essential part of this system is the alerts provided such as tax clearances. It also enables an organisation to add a vendor self-service module, which manages the approval of updated vendor information via the standard CRM workflow module.

“The imported vendor master data becomes extremely valuable once you apply AccTech VRM’s advanced reporting capabilities. Some of the standard VRM reports include purchase history and transaction detail per vendor, vendor listing per industry according to vendor BEE rating, and activity reports measuring internal procurement and staff performance. Users can customise company-specific reports within AccTech VRM in a matter of minutes,” says Zitzke.

In addition to the standard features of AccTech VRM, AccTech eWorkflow can be added as an additional module to assist in the procurement process. Predefined workflow will ensure a department requests quotes from specific vendors according to the vendor’s BEE rating, as calculated in the Vendor Master Data module.

eWorkflow also adds value to the business process cycle for procurement of stock and services and issuing to different internal cost centres. It allows an organisation to add users and authorisation levels, as well as defining how requests and transactions flow through the business before being completed as an action in the relevant module within the financial system.

Another additional feature of AccTech VRM is that the system allows users to attach any business intelligence tool, instantly providing management with the ability to perform quantitative analysis. The performance can be measured by reporting groups in the system spanning across all the vendors. Targets can also be measured such as the marketing division reaching 60% BBBEE achievement.
